Privacy policy

What we hold about you and your baby, where it lives, who can see it, and how to get it deleted.

This page is with us for review, so it does not carry an effective date yet. It describes how Bubs Daily works today, and it will be dated once the review is done.

The short version

  • Your log is yours. Only you and the people you invite can see it.
  • We do not sell your data, and there are no advertisers or ad networks in the app.
  • Your baby’s log is health information, so we treat it as the sensitive material it is.
  • You can download everything on your account, and delete the account and everything in it, yourself, from the Account screen.

Who is responsible for your information

The data controller is [REGISTERED COMPANY NAME - TO CONFIRM], company number [COMPANY REGISTRATION NUMBER - TO CONFIRM], registered office [REGISTERED OFFICE ADDRESS - TO CONFIRM]. Our registration with the Information Commissioner’s Office is [ICO REGISTRATION NUMBER - TO CONFIRM].

For anything on this page, write to [SUPPORT EMAIL - TO CONFIRM].

What we hold

Your account. Your email address, and a password if you set one. If you sign in with Google, Microsoft, Facebook or Apple instead, that provider confirms who you are and we hold the email address it returns. We never see the password you use with them.

Your baby’s profile. The name, date of birth and colour you chose, and if you gave them, your baby’s gender, birth weight and the number of weeks at birth. Also the list of email addresses you have shared the profile with.

What you log. Feeds by breast and bottle, nappies, sleep, growth measurements, health records such as visits, vaccinations and medicines with the dose and the time each was given, vitamin D drops, the vaccination tracker with each vaccine’s dates, doses and notes, the contact details you save for your health visitor, GP and out-of-hours service, milestones, routine plans, journal entries, quick logs such as baths, pumping, solids, mood and temperature, and any saved logging templates. Each entry carries the time you gave it and anything you typed in its notes.

Photographs you add to a journal entry. A journal entry can carry one photograph. The picture itself is not kept inside the entry: it is uploaded to our platform’s file storage and the entry keeps a web address pointing at it. That address is long and is not listed or linked anywhere outside your log, but it is not password-protected either, so anyone you send it to can open the photograph without signing in. Removing the photograph from an entry takes the address out of your log; ask us at [SUPPORT EMAIL - TO CONFIRM] if you also want the file itself deleted.

What you import. When you bring logs across from another app or a spreadsheet, we keep a record of each import: which app or file type it came from, the name of the file you uploaded, how many rows it held and how many were written or skipped, so that you can undo it later.

Anything you upload to Smart Import. If you paste notes or upload a photograph of a paper log, that text and those files are sent to our platform and read by an automated assistant, which turns them into entries and writes them to your baby’s log. To read them, the notes and photographs you upload are passed by Base44 to the AI model provider behind that assistant, which acts as a sub-processor for that one step. Which provider: [AI MODEL PROVIDER - TO CONFIRM]. The assistant does not keep a memory of your notes between conversations.

Which pages you opened. The live site records the first part of the address of each page you visit — for example that you opened the growth section — so we can see which parts of the app are used. It does not record what is on the page, and it is not shared with an analytics or advertising company.

Why we hold it, and on what basis

We hold your account details and your logs to provide the service you have asked for, which under UK GDPR is performance of a contract with you.

What you record about your baby is health information, which UK GDPR treats as a special category. We handle it on the basis of your explicit consent, given when you create an account and log an entry. You can withdraw that consent at any time by asking us to delete your account, which we explain below.

We do not use your logs to advertise to you, we do not profile you, and nothing in the app makes an automated decision about you or your baby.

Where it is stored, and who processes it

Bubs Daily is built and hosted on Base44, which stores your account and every entry on our behalf. Base44 acts as our processor and handles sign-in, storage and the automated assistant behind Smart Import. Hosting region: [DATA HOSTING REGION - TO CONFIRM]. International transfer safeguards: [TRANSFER SAFEGUARDS - TO CONFIRM].

Files rather than entries — the journal photographs described above, and anything you upload to Smart Import — are held in the same platform’s file storage. Entries are readable only by you and the people you have shared the baby with; the files are reached by their web address instead, so the protection on a file is that its address is long and unlisted, not that it checks who is asking.

If you sign in with Google, Microsoft, Facebook or Apple, that provider knows you have signed in to Bubs Daily. Which information they keep about that is covered by their own privacy policies, not ours.

There are no advertising networks, no third-party analytics and no social tracking pixels in the app.

Who else can see your log

Only the people you invite. When you share a baby profile from the Babies screen, the email addresses you add can see the full history from the moment they join, and can add entries of their own. Adding an address also asks the platform to send that person an invitation to set up their own account. You can remove someone’s access from the same screen, and removing it takes effect straight away.

We do not share your information with anyone else, other than the processor named above, unless we are required to by law.

What stays on your device

A few small settings are kept in your browser rather than on our servers, so the app opens the way you left it: your reminder settings, which baby is selected, whether you use kg and cm or lb and in, the last breast side and the last milk type you chose, your light or dark preference, and the token that keeps you signed in.

Clearing your browser storage removes those and signs you out. It does not delete anything you have logged, because your entries are held on our servers. There is more detail on the cookies page.

How long we keep it

We keep your account and your logs for as long as your account exists, because the point of the app is that a two-year record is still there in two years. When you ask us to delete the account, we delete it. Our routine retention period after an account is closed is [RETENTION PERIOD - TO CONFIRM].

Your rights

Under UK GDPR you can ask us to give you a copy of your information, correct it, delete it, restrict what we do with it, or send it to you in a portable form. You can object to processing, and you can withdraw consent at any time. Using any of these rights costs nothing and will never worsen the service you get.

You can take a copy yourself at any time, in two ways. Open More, then Export, to download what is logged for one baby as a CSV or JSON file, or print it. Or open More, then Account, then Download everything, for one JSON file holding every record on your account: each baby profile, every entry, saved templates and import records, with a count for each. Both are free and neither sits behind the paywall.

For anything else, write to [SUPPORT EMAIL - TO CONFIRM] and we will respond within one month, as the law requires.

If you are not happy with how we have handled something, you can complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk. We would rather you told us first, but you do not have to.

Deleting your account and data

You can do this yourself. Open More, then Account, then Delete my account. The app asks you to type a short phrase so it cannot happen by accident, and then it is done in one step. If you can no longer sign in, email [SUPPORT EMAIL - TO CONFIRM] from the address you signed up with and we will do the same thing by hand and confirm when it is done.

If you created the baby profile, deleting your account removes that profile and every entry on it, for everyone it was shared with. If you were invited to someone else’s baby, deleting your account removes the entries you added, takes your email off their sharing list and closes your account; the entries they added stay with them. Finally your sign-in itself is removed.

Deletion is permanent. If you want a copy of anything first, use Download everything on the same screen before you delete.

Children

Bubs Daily is used by adults, about a baby. The account belongs to the parent or carer, and the information recorded is about a child who is too young to hold an account. We do not knowingly let a child create an account of their own.

Minimum age to hold an account: [MINIMUM ACCOUNT AGE - TO CONFIRM].

Changes to this page

If what the app does changes, this page changes with it. Where a change matters to you, we will say so in the app rather than quietly editing this page.
